Qualtrics
Overview
North Dakota State University maintains an enterprise license for Qualtrics, a web-based survey and experience management platform. This service is not provided through a single unit, but rather through a partnership among three units. This document defines the operational, advisory, and support responsibilities across the units involved in administering and supporting Qualtrics at NDSU, as well as an overview of the general support offered.

Information Technology Division
The IT Division holds primary system administration and overall coordination responsibility for Qualtrics at NDSU. The IT Division's responsibilities include:

Maintaining the enterprise Qualtrics license and managing vendor relationships

Administering the platform, including account provisioning, brand configuration, and system-level settings.

Coordinating platform upgrades, feature releases, and lifecycle management

Maintaining basic login and NDSU-specific procedural documentation and resources for NDSU users

Hosting regular user meetings.

Administering the NDSU Qualtrics Microsoft Teams site and assisting in moderating questions related to system administration, identity management, integration, etc.
Research and Creative Activity (RCA)
The Office of Research and Creative Activity serves in an advisory capacity to the IT Division on all matters related to Qualtrics features and research use. RCA's responsibilities include:

Advising the IT Division on platform features relevant to research workflows, including advanced survey logic, data collection protocols, and integration with research systems.

Providing input on feature prioritization and licensing considerations as they relate to research needs.

Advising on ADA compliance requirements for research-related surveys and approving exceptions.

Advising on data management practices and compliance obligations for research involving sensitive information.

Communicating researcher needs and emerging requirements to the IT Division.

Collaborating with the IT Division on any changes that may affect research projects or compliance obligations.

Participating in regular user meetings.

Assisting in the moderation of the NDSU Qualtrics Microsoft Teams site to answer Qualtrics use questions.
Office of Data Services and Strategic Analytics (ODSSA)
The Office of Data Services and Strategic Analytics provides support for institutionally-significant survey activities. ODSSA's responsibilities include:

Advising on and supporting the design and administration of surveys that are important to NDSU’s core mission

Coordinating with the IT Division and RCA on Qualtrics platform needs along with feature prioritization and licensing considerations

Serving as a resource for units conducting surveys that inform university-wide reporting or decision-making

Participating in regular user meetings

Assisting in the moderation of the NDSU Qualtrics Microsoft Teams site to answer Qualtrics use questions
General User Support
The IT Division provides basic system administration and authentication support to the general NDSU user community. Users seeking assistance are expected to consult available documentation as a first step.
