Qualtrics - Can You Have Shared Accounts in Qualtrics?
Why can't we use shared accounts instead of personal ones?
Accounts for each user are more secure than a single account for a department or group. For security we use the CAS system to sign into Qualtrics.
Rather than having students create surveys, a full-time staff or researcher should own the survey and collaborate (share the survey) with the student(s) or other personnel. Survey owners can create the name of the survey and grant rights to a colleague, student, or other individual at NDSU to create the rest of the survey.
Collaboration
Open your survey, then follow these instructions.

- You can search by typing a name or using the User and Group Address Book (you will have to use the search feature here also)
- Click on the person's name in the list
- Add Selected
- Custom Message (Optional) but you need to click on Invite
- Check the rights options you would like them to have
- Save

The Person I Want To Collaborate With Cannot See The Survey I Shared
Check to make sure that you saved the collaboration and that they have an NDSU Qualtrics account. If the person is outside of NDSU, check to see if you used their full email address. If it is not a full email address then check with that person to make sure they have the rights to collaborate outside of their campus/university/company. Be sure the individual has a Qualtrics account before you share with them.
If an NDSU user has a Qualtrics account, you will see #ndstate following their name, when you start typing their name in the search feature. You have to wait to share the survey until they have an account. If you don't see #ndstate after their name, it means they do not have an NDSU Qualtrics account. If necessary, contact that individual to have them set up their NDSU Qualtrics account.
Transferring ownership is as simple as sending Linda Charlton Gunderson an email with the old survey owner's name, survey name, and the new owner's name. The new owner will share the survey to the student(s) again. Surveys are transferred as soon as possible after the email request is received.
Why surveys do not collect any responses even when they are still active?
The first thing to look at is who owns the survey. Is the owner still a student/staff/faculty at NDSU? If the answer is no, you've figured out why the survey stopped operating. When the owner of a survey leaves NDSU, ownership of the survey must be transferred. NDSU deactivates the Qualtrics account on the owner's last day. This problem will not be solved by sharing the survey. There can only be one owner, and it must be a user, not a department.
Steps for locating the survey's owner.
- On the project listing page click on the gear icon
- Check Owner option
If the owner is still at NDSU, double-check the survey's dates to ensure it is still active.

- Click on Survey option icon
- Find Responses tab click on that tab and scroll down until you see Survey availability
How do you transfer a survey to a new owner?
Send an email to Linda Charlton Gunderson stating who the current owner is, the survey name, and who the future owner should be. To transfer the survey, please ensure that the recipient has a Qualtrics account. If you're transferring before the deadline, please mention the date you would prefer the transfer to take place.
