Records Management - Records Retention Schedule

Effective immediately, information on record series utilized by the ND University System, as well as record series specific to NDSU, will be available through the ND Information Technology Department website. Spreadsheets of the Records Retention Schedules are no longer utilized at NDSU and are not posted on the NDSU Records Management website. For information about the current management and disposal of records:

If you know the Record Control Number: 

  1. Go to https://apps.nd.gov/itd/recmgmt/rm/recSer/retention.pdf 
  2. Scroll down the page to the box titled, "Search Record Series" 
  3. Enter the Record Control Number in the text box titled, "RCN" 
  4. In the "Department" text box, click on the Down arrow and select, "ND University System (2150)" to search record series used by the entire ND University System 
  5. Select additional criteria and filters as you wish or as it may be applicable 
  6. Click on "Search Record Series" 
  7. If you are unable to find your record, go back to Step 4 and select, "ND State University (2350)" to search series specific to NDSU.

    To repeat the search process, click on the Back arrow in your web browser. 

If you know the Record Series Title, but not the Record Control Number: 

  1. Go to https://apps.nd.gov/itd/recmgmt/rm/recSer/retention.pdf 
  2. Scroll down the page to the box titled, "Search Record Series" 
  3. Enter the Record Control Series in the text box titled, "Title" In the "Department" text box, click on the Down arrow and select, "ND University System (2150)" to search record series used by the entire ND University System 
  4. Select additional criteria and filters as you wish or as it may be applicable 
  5. Click on "Search Record Series" 
  6. If you are unable to find your record, go back to step 4 and select, "ND State University (2350)" to search record series specific to NDSU

    To repeat the search process, click on the Back arrow in your web browser. 

If you know neither the Record Control Number nor the Record Series Title: 

  1. Go to https://apps.nd.gov/itd/recmgmt/rm/recSer/retention.pdf 
  2. Scroll down the page to the box titled, "Search Record Series" 
  3. In the "Department" text box, click on the Down arrow and select, "ND University System (2150)" to search record series used by the entire ND University System 
  4. In the "Division" text box, click on the Down arrow and select "General Retention (006)" to search record series used by the entire ND University System 
  5. Select additional criteria and filters as you wish or as it may be applicable 
  6. Click on "Search Record Series"; a listing of all the record series will appear below the "Search Record Series" box 
  7. For more information on a specific record series in the data table, move your cursor over its row and click to open the record series 
  8. If you want to view the descriptions of all the record series in the data table: 

    1. Click on "Export Table Date" on the left immediately below the "Search Record Series" box 
    2. When prompted, select "Open" 
    3. You can now search the record series to which a particular type of record belongs by clicking Control + F and typing key words into the "Find and Replace" box that appears 
    4. It will be tempting to print this document and have it to use as a reference, but please do NOT do so: it is an organic document, containing information that is constantly changing, so if it is printed, it will quickly become outdated and inaccurate 

  9. If you are unable to find your record, go back to Steps 3 and select, "ND State University (2350)" and Step 4 and select, "NDSU - All Records (100)" for record series specific to NDSU To repeat the search process, click on the Back arrow in your web browser.

Please email us at NDSU.recordsmanagement@ndsu.edu. We may be able to identify the appropriate record series for you, or it is possible that a new record series needs to be created, and we will request that on your behalf.
