Secure File Transfer - Using Outlook to send files with Secure File Transfer

This options allows you to use a PlugIn in Outlook to send a file using the NDSU Secure File Transfer application.

Install the Plug-in for Outlook:

  1. Download and install the plugin installer needed for your Operating System 
  2. Close your Outlook application
  3. Run the Installer 
  4. Complete the install process

Configure the Plug-in:

  1. Open your Outlook application
  2. Click New Email
  3. Click Secure Attach in the ribbon 
  4. Select Secure Attach
  5. Select any file that you can use a dummy file for setup
  6. There will be a popup Window that open up, enter:
    • Server - filetransfer.ndsu.edu
    • User Name - your NDSU  username (this is typically your first.last)
    • Password - your NDSU password (this would be the one that you enter in your computer to login)
    • Click OK
  7. This will finish the configuration for the plugin

Using the Outlook Plug-in:

  1. Open your Outlook application
  2. Click New Email
  3. Click Secure Attach in the ribbon 
  4. Select one of the options available:
    • Secure Attach — Any file you would normally attach using the attach icon on Outlook can be attached using this Secure Attach button instead. This will cause any file attached to the email to be sent using LiquidFiles.
    • Attach Folder — Attach a folder at once and all files in this folder will be attached to this email.
    • Secure Attach All – This setting can automate that every Outlook attachment be sent through LiquidFiles. This is not recommended.
    • File Request —Provides an easy way to request files from someone.
    • Private Message — A Private Message is a message where the Message is not included in the email sent to the recipients.
    • Select Existing Files — Any file you've already sent that hasn't expired is available to send again without having to upload the file again.
    • Options — Settings for the plugin within Outlook. See section entitled “LiquidFiles Outlook Plugin Account Options” for more detailed information
  5. Select a file(s), Folder(s) that you want to send using Secure File Transfer according to what you selected above
  6. Set the parameters of the message
    • Set who the message is for:
      • Only specified recipients — Only the recipients you have specified in the To, CC and BCC fields will be able to download the files. It won't be possible to forward the email or message URL to anyone.
      • Local users and specified recipients — In addition to the Specified Recipients, any files sent may also be downloaded by any local users on the system by forwarding the email or sending the message URL.
      • Specified recipients and respective domain users — In addition to the Specified Recipients, any files sent may also be downloaded by any receipient domain user. I.e. if you send to boss@company.com then secretary@company.com can also access the message, but not sneaky@competitor.com.
      • Authenticated users — Recipients MUST log into the NDUS filetransfer account – the recipient will NEED to have an NDSU Account in order to receive the file.
      • Anyone — Anyone may download the files. Use this option to post the Public Message URL in public forums, on web pages or anywhere where you want to make the files available. When the user visits the Public URL, they will be asked to authenticate by providing their email address and a confirmation.
    • Enter the Date that the file is to expire on the Secure File Transfer server
    • Enter the number of downloads allowed (if left blank, the file will remain on filetransfer till the expiration date)
  7. Enter the To:, Subject:, and Body: of the email message 
  8. Click Send
