Zoom - Cloud Recording Access Restrictions

There are several ways to restrict viewing of Zoom cloud recording(s). Zoom cloud recordings are automatically available for viewing after meeting is closed and processing completed. The access restrictions can apply to individual or all recordings.

Restricting Access to Zoom Cloud Recordings

There are several ways to limit who can view or share your course Zoom recording. By default Zoom recordings are available to view after meeting ends and processing completes. The following provides instructions for three different methods depending on the type of restriction you prefer.

  • Allow only authenticated users to view the recording
  • Add a passcode to your recording
  • Stop sharing a previously shared recording
  • Add Waiting Room requirement to meeting settings

Allow only authenticated (NDSU logged in student, faculty & staff) users to view the recording

You can restrict access to just Zoom account holders for a single recording or all recordings (past and future). Users who click your recording link will have to log into Zoom to view it.

For a single recording:

  1. Log in to the NDSU.Zoom.us webpage portal and sign in.
  2. Click Recordings in the left-hand navigation to find your Cloud Recordings.
  3. Under Cloud Recordings, click the Share button to the right of the recording you want.
  4. In the Share this cloud recording window, select the radio button next to Only authenticated users can view. This means only logged in student, faculty or staff at NDSU can view the recording.
  5. Click Close.

For all recordings (past and future):

  1. Log in to the NDSU.Zoom.us webpage portal and sign in.
  2. Click Settings in the left-hand navigation.
  3. Scroll down to Only authenticated users can view cloud recordings and click the toggle to turn on.

Add a passcode to your recording

This feature requires users to enter a passcode before viewing or downloading the recording. This can be added as a requirement for a single recording or all recordings (past and future).

For a single recording:

  1. Log in to the NDSU.Zoom.us webpage portal and sign in.
  2. Click Recordings in the left-hand navigation to find your Cloud Recordings.
  3. Under Cloud Recordings, click the Share button to the right of the recording you want.
  4. In the Share this cloud recording window, click the toggle next to Passcode protection
  5. Enter a passcode in the field provided, and click Save.

For all recordings (past and future):

  1. Log in to the NDSU.Zoom.us webpage portal and sign in.
  2. Click Settings in the left-hand navigation.
  3. Scroll down to Require passcode to access shared cloud recordings and click the toggle to turn on.

Stop Sharing a Previously Shared Recording

  1. Log in to the NDSU.Zoom.us webpage portal and sign in.
  2. Click Recordings in the left-hand navigation to find your Cloud Recordings.
  3. Under Cloud Recordings, click the Share button to the right of the recording you want.
  4. Click the toggle next to “Share this recording” to stop sharing to all others.

Add Waiting Room Requirement

When participants join a meeting, they are placed into a waiting room. The host of the meeting is required to admit them, individually, as they enter. Additional options, listed below, are available.

Waiting Room and Edit Options

  • Waiting room features are available by logging into the NDSU.Zoom.us portal and clicking on Settings.
  • Enable waiting room with slider button
  • Edit Options

Options: Placing in waiting room

  • Everyone is held in the waiting room
  • Users not in the NDSU account automatically are held in the waiting room
  • Users invited during the meeting, by the host, can bypass the waiting room

Options: Admitting participants

  • Hosts and co-hosts only
  • Hosts, co-hosts, and anyone who has bypassed the waiting room (only if hosts and co-hosts are not present)
